Food truck processing costs: festival math and the dead-signal trap
A food truck's processing profile is brutal on paper: small tickets, sold fast, in farmers-market and festival spots where the signal is worst. The rate you were quoted assumes a dipped card on a healthy connection. Your busiest hour of the week is neither.
Small tickets, full-size fixed fees
- On a $14 order at 2.6% + 15¢, the fee is 51¢ — a 3.67% effective rate, before anything goes wrong.
- On a $9 coffee and pastry at the same rate, the fee is 38¢ — 4.27%. The smaller the ticket, the larger the fixed fee looms; a truck's average ticket is exactly where this bites.
- Add-ons ride along. The percentage applies to the full charged amount — modifiers, extras, and tips included.
Bad signal prices like a keyed sale
- Offline mode is a loan, not a gift. Major point-of-sale systems will store sales when the connection drops and upload them later — but stored payments can decline when they finally process, and the processor's published offline terms govern who eats that loss. Read them before festival season, not during it.
- Keyed entries price at the keyed rate. When a card gets typed in because the reader or the signal failed, that sale prices on the manually entered schedule — 3.5% + 15¢ on Square's published pricing, for example (checked October 2026) — not the in-person rate you budgeted.
- Your statement already knows. A month with a big event shows it plainly: compare the effective rate on an event month against a regular month and the connectivity tax is right there in your own numbers.
The event-stack nobody budgets
- Pre-orders price online. App and web pre-orders for pickup price on the online schedule, which sits above in-person rates on published pricing — before any platform or marketplace percentage the event or app adds on top. Two contracts, two percentages, one order.
- Venue and platform fees are not processing fees — but they come out of the same ticket. A true cost picture for an event counts processing, platform, and venue charges against the same day's sales.
- The PCI line. A PCI program fee around $10–$15/month is a legitimate category. What deserves a question: a much larger amount, the same compliance charged twice, or a non-compliance fee still billing after you completed your SAQ. The fee dictionary explains each line.
Your two numbers
Total fees for a full month ÷ total volume = your effective rate. For a truck, run an event month and a quiet month separately — the gap between them is the most useful number on this page. The calculator adjusts for food businesses before it judges the result.
