Processing junk fees, explained in plain English
Processing statements are famous for fee sprawl. Some fees are legitimate pass-through costs (interchange and card-brand assessments). Others are pure margin for your processor — and they're the first place an audit looks. Here are the usual suspects:
Fees worth questioning
- PCI compliance fee ABOVE the typical $10–15/mo (legit programs exist — it's the inflated ones that are junk) — often $79–$199/yr or a monthly equivalent. The compliance obligation itself is real, and many processors charge a program fee for it — that alone isn't junk. What's questionable: being charged it both monthly AND annually, paying it alongside a separate 'regulatory/compliance' fee for the same thing, or a price nobody can explain.
- PCI non-compliance fee — a monthly penalty (often $20–$40) if you haven't completed your annual self-assessment. Complete it and this should stop.
- Statement fee — being charged ($5–$15/mo) for the privilege of receiving the bill.
- Batch / settlement fee — a daily charge for closing out, sometimes stacked on top of per-transaction fees.
- Monthly service / membership fee — vague labels, vague value.
- IRS reporting fee, "regulatory" fee, annual fee — names designed to sound mandatory. Mostly, they aren't.
- Early termination fee & liquidated damages — not on the statement until you try to leave; check your contract before you're surprised.
Fees that are real (don't let anyone "remove" these)
- Interchange — the card brands' wholesale cost. Nobody negotiates it away.
- Visa Acquirer Processing Fee (~$0.02 per authorization) and Mastercard NABU (~$0.02 per item) — mandatory network pass-throughs.
- International assessments (e.g., Visa IAF ~0.45% on foreign-issued cards, Mastercard cross-border/program support ~0.15%) — real, but only on international transactions; if you see them on domestic sales, ask why.
- Chargeback fee (~$15–25 per dispute) — real and standard; what's negotiable is everything around it, not its existence.
- PCI program fee (~$10–15/mo typical) — real when it buys an actual compliance portal, SAQ management, and scanning. Junk only when inflated, duplicated, or paired with a "non-compliance" penalty you didn't earn.
- Voice authorization (~$1/call), AVS (~$0.10) — small real per-use fees; junk only if you're being charged for usage you don't have.
Interchange (paid to the cardholder's bank) and card-brand assessments (Visa/Mastercard etc.) are wholesale costs every processor pays. A rep who promises to eliminate interchange is not being straight with you. The honest savings live in the markup above interchange — and in the junk listed above.
The Junk Fee Spotter — check what you see on YOUR statement
Tick every line that appears on your statement and adjust the amount to match. Amounts pre-filled are typical examples, not quotes — your statement is the truth. If a fee's purpose can't be explained in one sentence by your processor, it belongs on this list.
The 10-minute self-check
Add up one month's fees, divide by the month's card volume (that's your effective rate — see our guide), then scan the statement for the fee names above. If you find two or more, there's a good chance you're overpaying. Our free audit does this properly, line by line.
