Your first statement of the year: the new-year rate check
January is the one month a year most merchants actually look at a statement — the year-end paperwork is out, the December numbers are final, and the first statement of the new year lands on top of them. Processors know this calendar too. Five checks, in order, turn that glance into the most useful ten minutes of your processing year.
1. The annual lines land when they land — January is when you see them
- Annual program and account fees bill once a year on many contracts, and a once-a-year charge is the easiest one to forget you agreed to — or to keep paying after it quietly grows. Find this year's amount and compare it with last January's statement, not with your memory.
- The PCI pair. A PCI program fee is a legitimate category; a non-compliance fee billing on an account that completed its SAQ is not. The new year is when both lines deserve one fresh look. The fee dictionary separates them.
2. Rate changes love a new year
- Notice periods expire quietly. Processors announce pricing changes in statement messages and letters weeks before they take effect — and early-year effective dates are common. If a change was announced in the fall, this is the first statement where it costs real money. The fee-change tracker follows the announced ones.
- Compare December to last December. Same season, same business mix, a year apart. Total fees ÷ total volume for each: if your effective rate climbed and your business didn't change, the difference arrived by notice, not by accident.
3. Renewal windows are date math, not vibes
- Many agreements auto-renew unless notice is given a set number of days before the term ends — and term anniversaries cluster at the start of a year for accounts opened in January. Your agreement's term and termination pages hold the actual dates and the actual fee, if any. Read yours before the window, not after. (General information, not legal advice.)
- An equipment lease is its own contract. It does not renew — or end — on your processing agreement's schedule. Check both dates while you have the folder open.
4. Your two numbers, annual edition
Add up all twelve months of last year: total fees ÷ total volume. That annual effective rate is the truest number in your processing life — one number that smooths out seasonality, event months, and December madness, and the right yardstick for any quote anyone hands you this year.
